How Fluenta One works

How the process runs

Partner qualifications and contract status are kept in one place, not in separate spreadsheets.

  1. 1

    Onboarding

The partner receives an invitation and registers on their own.

  2. 2

    Pre-qualification

A risk-based questionnaire, with verified company data.

  3. 3

    Contract

With review and expiry dates, and reminders sent in advance.

  4. 4

    Fulfilment

Confirmation first, then the invoice, tied to the order.

Built-in rule

No confirmed fulfilment, no invoice.

Partners can only upload an invoice against a closed order and confirmed fulfilment. If a certificate expires, the partner receives no new assignments until it is renewed. In urgent cases this can be overridden, and the system logs that exception too.

Approval

The approval chain runs in the system too

Part of procurement is initiated by the business units and passes through several approval levels. This chain runs in the same place as everything else.

Log: who, when, based on which document

Everyone can see where it stands

The requester too, not just procurement.

If someone is unavailable, the process doesn’t stall

Deputies can be set up in advance, and the approval passes to them.

Every decision leaves a trail

Who approved it, when, and based on which document.

What stays with you

The decision is yours

The system prepares, it doesn’t decide

It requests, checks and flags. Approving partners and signing contracts stays with you.

You can show what happened, even later

Every step is recorded, including who approved it and when. Internal auditors or supervisory reviews can be given separate, read-only access.

Your existing systems stay

It doesn’t replace your ERP or claims system. It sits alongside them and feeds them data.
